Job Description

The Staff Accountant plays a key role in supporting the financial operations of the MCA. This position is responsible for day-to-day accounting functions including accounts payable, payroll, cash activity, and general ledger support, as well as assisting with month-end and year-end close processes. The ideal candidate is detail-oriented, highly organized, and comfortable working independently in a small, collaborative accounting team.

Responsibilities and Qualifications

Accounts Payable

  • Receive, review, and process vendor invoices, ensuring accuracy, proper coding, and required approvals
  • Communicate with vendors to resolve invoice discrepancies and payment issues
  • Prepare and process check runs and electronic payments, ensuring timely and accurate vendor payments
  • Maintains organized and current accounts payable, including physical and electronic documentation
  • Reviews open purchase orders for purchase orders pending receipt, review account distributions, and follow up with Purchasing Department, as necessary

Payroll & Related Reporting

  • Prepares and processes payroll for employees, ensuring accurate calculation of wages, taxes, and deductions
  • Receives timesheets and addresses any discrepancies or issues that arise
  • Prepares W-2s and 1099-MISC and/or 1099-NECs at year-end
  • Maintain payroll records and support compliance with applicable payroll regulations

General Ledger & Month-End Close

  • Prepare and reconcile balance sheet accounts, including cash, payroll, and accounts payable
  • Assist with month-end and year-end close activities by preparing schedules, reconciliations, and supporting documentation
  • Prepare grant and program-related reconciliations and summaries
  • Support budget tracking and variance analysis as requested

Compliance, Controls & Support

  • Keeps up to date with new payroll (IRS, DOL, etc.) regulations.
  • Ensure compliance with internal controls and accounting policies
  • Assist with audit preparation by gathering documentation and responding to auditor requests
  • Research accounting questions and apply GAAP guidance as needed
  • Perform other accounting and administrative duties as assigned to support the accounting team

Qualifications

  • Bachelor’s degree in Accounting
  • Knowledge of non-profit accounting is a plus
  • Basic understanding of payroll regulations and accounts payable
  • Proficiency in computing skills including Microsoft Excel
  • Strong written and verbal communication skills
  • Willing to be accountable for producing results and getting the job done completely and accurately
  • Strong organizational skills
  • Friendly, enthusiastic, and positive attitude
  • Bilingual in English and Spanish is a plus
